Meta is seeking an experienced Executive Administrative Partner (EAP) to work directly with the VP of EMEA, Global Business Group. The ideal candidate will have exceptional communication skills and the ability to partner closely with the immediate EMEA leadership team as well as the broader and other cross-functional teams at Meta. This person should be a self-starter, process focused, highly service-oriented and organized, energetic, a problem solver and exhibit sound judgment. This EAP will also serve as the Lead Admin for Meta’s Global Business Group in EMEA.This position is full-time and located in Germany (either remote, or on-site in Berlin, Hamburg or Munich), reporting into the Business Lead EMEA and working directly with the VP of EMEA.

Executive Administrative Partner Responsibilities:
- Coordinate internal and external engagements in fast-paced international environment, applying proactive and sound judgment as well as highest service orientation
- Manage complex calendars
- Communicate daily with internal and external customers, prospects, partners, and vendors while exhibiting the professionalism, courtesy and diplomacy
- Develop understanding of priorities, background and content of meetings and content
- Ensure high response rate to all streams of emails, messages, and other communications
- Prepare briefs for internal and external meetings, liaising with colleagues where required to ensure timely and necessary inputs
- Work cross-functionally with a global admin team
- Maintain spreadsheets, contacts, distribution lists, etc
- Organize event logistics, e.g. team offsites
- Prepare and manage expense reports
- Ensure and maintain confidentiality of all appropriate communications and documentation
- Track, prioritize, and assign all incoming written and oral communications, as necessary, to appropriate person(s) for response
- Perform the supplier management function in collaboration with the business, e.g. prepare purchase orders and follow up on vendor inquiries
- Develop strong partnerships with Procurement Operations, Accounts Payable, and Legal teams
- Manage, coordinate, and support special projects as needed
- Act as a subject-matter expert for Admin core behaviors and core skills, encourage others to do the same, as resource for leadership regarding admin alignments, allocations and support models
Minimum Qualifications:
- 4 min. years of full-time administrative experience directly supporting 1 or more executive members (Senior Director Level or above) in international, fast-paced environment
- 4 min. years of experience coordinating travel logistics on behalf of 1 or more executives
- 4 min. years of direct calendar management and expense report management for 1 or more executives
- Communication skills in English as well as business fluency in German
- Computer skills and comprehension of Outlook and related office tools
- Ability to prioritize multiple assignments quickly
- Ability to multi-task and change direction quickly
- Focus on customer service
